Who are we?

The Norwich Over The Wensum Neighbourhood Forum is a constituted unincorporated association.  More information including our constitution and terms of reference of the administrative committee (who are responsible for maintaining our website) can be found on our about us page.

What data do we hold?

We hold personal data about our members and supporters that was submitted to us when using the ‘Sign Up’ page: name, address, email address, membership status, and any further information submitted to us when filling in the membership form.  We also hold data automatically generated by our mailing list provider, Mailchimp, including subscription source and Contact Rating.

We hold data submitted to us via other surveys and forms (usually advertised through our mailing list).  This data is held on the MailChimp platform.  Such data is anonymous unless personal data is submitted as part of the survey form, or if the survey form was accessed via a personalised link within one of our mailing list emails. 

Who has access to your data?

The data is held by the neighbourhood forum within the forum’s MailChimp account, and is accessible from time to time by those member’s of the forum’s administrative committee who have been given access by the forum’s data controller, Simeon Jackson. Each user undertakes that they will only use the data in accordance with this Privacy Policy, and for no purposes other than the forum’s lawful purposes.

Data is held in accordance with MailChimp’s Data Processing policy (note that the ‘Member’ as referred to with that document is the neighbourhood forum, not individual members).

From time to time, this data may be downloaded ONLY for the forum’s lawful purposes which cannot be performed on the MailChimp platform itself.  On occasion, this information may be shared with other members of the neighbourhood forum.  Under such circumstances the data will be anonymised unless permission has been expressly given for that data to be shared.

How long will we retain your data?

Data will be held for the full duration of the existence of the neighbourhood forum (a maximum of 5 years from designation), and subsequently deleted.

What rights do I have over my data?

If you are a member, supporter, or subscribed to our mailing list, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes. Note that resignation of membership must be confirmed for us to be able to delete personal data required for the administration of membership.
